SWIM TEAM VOLUNTEER JOB DESCRIPTIONS

 

I.  VOLUNTEER JOBS REQUIRING NO TRAINING

 

SNACK AND DRINK WORKERS—NO EXPERIENCE REQUIRED -3 needed for each home meet session

1.      Before the home meets, gather cups, ice, water (not hose water), lemonade, fruit, muffins, trays, paper plates, etc.; Set up food on the ping pong table.  Let swimmers know that food is for workers only.  The snack bar has food for swimmers.

2.      Have at least 2 volunteers to serve drinks and snacks periodically to meet workers including coaches

 

CLERK OF COURSE – NO TRAINING REQUIRED – 3 needed per meet session

EXPERIENCE PREFERRED FOR HEAD CLERK

1.      Responsible for organizing swimmers into lane assignments in staging area

2.      Usually three people—one head clerk from home team and one assistant from each team who knows most of the swimmers on their team

3.      Using bullhorn, head clerk calls out upcoming events so that swimmers know to gather for the event

4.      Using swimmer’s lane cards, show swimmers or relay team the seat(s) on the ready bench that is (are) for their assigned lane; hand swimmer the card

5.      Determine if some heats have empty lanes where heats or events can be combined.  For example, there are only two swimmers in event 31 and only two in event 32;  if so, reassign lanes to combine into one heat with event 31 swimmers in two lanes and event 32 swimmers in two other lanes;  reassign lanes, changes lanes assignment on lane cards and notify starter.

6.      Move swimmers forward on ready benches until their event is called

 

RUNNERS – NO TRAINING REQUIRED –3 needed per meet session

1.      Collect lane cards from swimmers who will be swimming in next heat

2.      Deliver land cards to timers in lane where child will be swimming

3.      After heat is complete, collect cards from timers (and any DQ slips from stoke and turn judges), take any DQ slips to the referee for signing and deliver all slips to scorers’ table.

 

TIMERS – NO TRAINING REQUIRED—9 needed per meet session

1.      Be sure you have a stopwatch that works and that you know how to start, stop, and reset it.

2.      Be sure you have lane card for upcoming event; listen for any last minute lane changes to be sure you

3.      Be sure how many laps the swimmers will swim in this event

4.      Be sure swimmer(s) in your lane are ready; if not signal to Head Timer

5.      Using stopwatch, start stopwatch when strobe light flashes on starting machine

6.      If stopwatch isn’t running correctly, raise hand and call for Head Timer to give you a watch

7.      Lean over pool edge as swimmer approaches end of heat; Stop watch when swimmer touches the wall.

8.      Double check that the swimmer’s name is on the lane card you have.

9.      Record middle of 3 times from 3 timers in that lane on lane card

10.  Hold up completed lane card for runner to pick up

 

HEAD TIMER – NO TRAINING REQUIRED – one for each home meet session

           

1.      Have two stopwatches

2.      Make sure timers are ready in all lanes; Signal starter when timers are ready using prearranged signal

3.      Start two watches when strobe light flashes on starting machine

4.      Watch for any timers signaling that their watch isn’t running correctly; give them one of the watches you started.

5.      At end of the heat, retrieve the watch you loaned

 

SCORERS’ TABLE – NO TRAINING REQUIRED—one computer operator, one recording assistant and one ribbon distributor for each meet session

EXPERIENCE REQUIRED FOR COMPUTER        OPERATOR

1.      Computer operator:

                                                               i.       assures computer and software are up and running before start of meet; assures Team Manager disks from each team are loaded

                                                             ii.      Record all swimmers’ times in the computer as runner’s bring them to the table

                                                            iii.      Determine places at conclusion of each event (may include several heats) and tell ribbon clerks which swimmers were in 1st through 6th place.

2.      Recording Assistant:

                                                               i.      Assists computer operator by organizing lane cards

                                                             ii.      Records any necessary information on paper forms

3.      Ribbon Distributor

                                                               i.      Before start, determines that ribbons are available and in sufficient quantity for the meet

                                                             ii.      Determines which ribbons go to which team and which swimmer

                                                            iii.      Staples appropriate ribbon to lane card

                                                           iv.      Places lane card with ribbon attached in appropriate family file

 

 

 

II.  VOLUNTEER JOBS REQUIRING NSL TRAINING

 

STROKE AND TURN JUDGE – NASHVILLE SWIM LEAGUE TRAINING             REQUIRED – 2 required per meet session

1.      Assures that you have disqualification forms on clipboard

2.      Stand behind timers in lane 2 or 5, depending on assigned area

3.      Observe swimmers’ strokes and turns in 3 lanes in half of pool closest to you to determine if they are legal. 

4.      If illegal stoke or turn is clearly observed, raise hand to signal referee

5.      Record violation on DQ slip and give to runner

6.      For Relays, move to side of pool to monitor that swimmers in assigned lanes touch before next swimmer takes off

7.       Record any premature exchanges on appropriate slip and give to runner

 

EARLY TAKE-OFF JUDGE – NASHVILLE SWIM LEAGUE TRAINING REQUIRED – 1 required per meet session

1.      During relays, checks to be sure swimmer in the water touches the wall before next swimmer leaves the starting block

2.      If early take-off is seen, raises hand to notify referee

3.      Complete DQ slip and give to runner.

 

STARTER – NASHVILLE SWIM LEAGUE TRAINING REQUIRED – 1 for each home meet session

1.      After signal from referee, announce name and number of event;  Assure that timers are aware of any last minute lane changes

2.      Call swimmers to their marks in calm, unexcited voice.  Be sure all swimmers are ready but not overbalanced

3.      Press starter signal

 

REFEREE – NASHVILE SWIM LEAGUE TRAINING REQUIRED – 1 required for each home meet session

1.      Conduct pre-meet meeting of all volunteers working on the deck; try to set warm, welcoming, cooperative tone for the meet; be sure there are enough workers and that they all have clip boards, pencils, stopwatches that work; introduce head timer; be sure you agree on a signal that the head timer will use to signal that all timers are ready at the start of each heat; assign placement of stroke and turn judges to their quadrant of the pool

2.      At start of each heat, determine that swimmers are ready and, from head timer, that timers are ready.

3.      Signal start of event by three short whistle blasts followed by one long blast.  Raise arm and point to starter during long blast.

4.      Observe strokes and turns of all swimmers; Watch stoke and turn judges for any DQ signals.

5.      Consult with judge on any questionable calls; sign DQ slip

6.      Handle any protests by listening to protesting party and any judge involved; try to handle discreetly so that emotions are kept as even as possible and the flow of the meet is not unnecessarily disrupted

7.      At conclusion of the meet, thank the visitors and workers; assure that all NSL forms are properly completed and will be sent in timely manner.
